More bots need more structure: one Grok Bot defines roles, a chief-of-staff bot hands out the work
The author built close to 30 AI employees with Grok Bot. His lesson: first build an "OD" bot that sets each bot's role, duties and boundaries, then let a chief-of-staff bot run the work and dispatch it, so the bots stop working at cross purposes.
Start step 1 ↓The problem
With many bots, two often do the same thing while another job gets done by nobody. The author says that without structure, a pile of bots is like a group of interns each doing their own thing.

What to prepare
- A roles sheet
How to do it
- 1
Build the OD bot first and write a roles sheet
OD stands for Organization Development. This bot does no business work; it only sets each bot's role and boundaries.
PromptReplace the 1 ✎ dashed part with your own details, then copy.
You're my OD bot. You handle org design, not business work. Look at the bots I have now: bot names and what they currently do (sample, replace with yours). Write one line per bot: what it owns, what it doesn't, and who it hands off to. Flag any work two bots both do, or that no bot owns, so I can decide. Save the result as a Page called "Roles". - 2
Then build a chief-of-staff bot that only dispatches
You only tell the chief of staff what needs doing. It hands the work to the right bot using the roles sheet and doesn't do the work itself.
PromptReplace the 1 ✎ dashed part with your own details, then copy.
You're my chief-of-staff bot. When I give you something, read the "Roles" Page, hand it to the bot that owns it, and tell me who got it. If no bot owns it, don't do it yourself; ask the OD bot whether a new role is needed. Every day at 6 p.m. (sample, replace with yours), report what you handed out today and what's still open. - 3
Ask OD before adding a bot
Every time you want a new bot, have the OD bot check whether it overlaps with an existing one. It updates the roles sheet, and the chief of staff follows the new sheet next time.
