Sort your inbox with Zapier or n8n plus AI

Get a list every morning of what to reply to, what to read and what to ignore, instead of letting AI reply for you. Test the sorting by hand on three real emails first, and only switch the flow on once it's right.

The problem

Client questions, newsletters and system alerts are all mixed together in your inbox. You miss "payment failed" and spend half an hour opening promotions.

What to prepare

  • Your inbox
  • An AI sorting step

How to do it

  1. 1

Write the rules first: three categories, and when unsure, never Ignore

Three is enough: Reply, Read, Ignore. Bills, failed payments and security alerts are always Read, even when nobody is waiting on you.

  2. 2

Run the prompt by hand on three emails

Pick three from your inbox: a client asking a question, a newsletter and a payment or security alert. Paste them into regular ChatGPT or Gemini first.

    Prompt
  3. 3

Connect the flow, but pass only the fields it needs

Use "new email" as the trigger. The next step takes only the sender, subject and first 1,500 characters.

  4. 4

Test the automation with the same three emails

Mark the three as unread or forward them to yourself so the flow runs. Check the sheet: the client email is Reply, the newsletter is Ignore, the failed payment is Read.

  5. 5

Review the wrong rows once a week

Add a "my call" column to the sheet. Next week, add one of the rows you corrected to the prompt as a counterexample.
